Privacy Statement

• Account information: your email address, and (if you sign in with Google) the basic profile info Google shares.
• Billing information: company name and billing contact email/phone you provide, once you upgrade. Payment card details are handled entirely by Stripe — we never see or store your card number.
• Uploaded files: the reports you upload, and the fields Docents extracts from them (field names, inferred types, and plain-language descriptions).
• Usage data: which reports you've uploaded and when, for the purpose of enforcing your plan's quota.

Uploaded reports are sent to our AI provider's API to identify fields and infer their meaning. Our AI provider does not train models on this data. Your files and extracted fields are stored in your account, scoped to your organization — no other Docents customer can see them.

We don't sell your data, and we don't use your uploaded reports for anything beyond building your data dictionary and, if you've consented, improving the product.

• Our AI provider — processes uploaded report content to extract fields. Not used for model training.
• Stripe — processes payments for paid plans. Handles your card details directly; we never receive them.
• Email delivery — used to send verification, billing, and batch-upload-completion emails.

Your account and its data are kept until you delete them, or until a canceled subscription's paid period ends without renewing. Either way, deletion permanently removes your uploaded files, extracted fields, and account record, along with a pro-rated refund of any unused report credits. You can delete immediately at any time from Account, or cancel there to keep your account and data through the period you've already paid for first.

We keep a record that your email was once used on a canceled or deleted account, separate from any of your actual data, so free trials can't be repeatedly re-farmed on the same address.

Docents uses a single session cookie to keep you signed in. We don't use tracking or advertising cookies.

• Review and correct your organization's profile any time in Account.
• Delete any individual report from your Reports list.
• Delete your entire account and all its data from Account.
• Use anonymized, demo, or structure-only data when uploading, if you'd rather not store real values with us at all.
